Administrative Assisstant Job Responsibilities


Marketing Activities
• Assist in the organization for internal and external events and fairs

• Assist in the marketing related activities

• Finalize any paper work required for any activity

• Create customer’s database of events’ potential customers

HR Activities
• Search for employment sites and groups to select from then post job vacancies

• Prepare for and attend job fairs in different universities

• Gather & Filter received CVs to reach a short list of CVs matching job requirements

• Phone interview the short listed candidates to filter them

• Schedule test appointments for filtered short-listed candidates then send solved tests to SME

• Schedule interviews appointments for candidates who passed the test and interview them when required

• Update HR database

• Update employees vacation credit and employees core hours

• Select courses with employees according to their career path and manage its logistics

Management Activities
• Follow up on company's collection of financial dues by e-mail and phone

• Be responsible for ensuring that infrastructure, office equipment and network are always up and running and handle their maintenance when required

• Pay regular bills on time: phone, electricity, gas, water, internet, office rent, building maintenance…etc and archive all bills

• Handle kitchen store

• Supervise office cleaning

• Follow up with the company suppliers

• Follow up with freelancers before delivery dates and salary payment




Office Manager Job Requirements
• Excellent communication and presentation skills

• Excellent English language (writing and speaking)

• Very good computer skills

• Good command of MS Office

• Writing professional e-mails to handle important tasks

• Proactive

• Presentable

• Working under stress

• Assertive character who has the ability of enforcing work process
