Spa Concierge


Reports To: Spa Supervisor

Responsible For: Client care/customer service/reception

Main Duties & Responsibilities:

Ensure the efficient smooth running of the day-to-day operation, service, cleanliness and safety in the reception and report on a daily/weekly basis.

Deliver outstanding customer service for all clients on a consistent and ongoing basis.

Ensure that all revenues arising from Spa activities are properly registered at the close of each shift and at the end of the days work.

Actively sell and promote spa services and products in line with pre determined targets/budgets

Complete admin duties designated by Spa Supervisors /Manager

Other Duties:

Ensure client consultation records are completed in order for the therapist to conduct a thorough screening prior to commencing the treatment.

Have a complete knowledge of all spa treatments and services offered and aware of any promotions that may be on offer, including price structure, duration etc.

Ensure that staff schedule for all reservations of spa services are according to the relevant skills of the therapists.

Monitor availability of treatments on a continuous basis with minimal down time and maximising the bookings.

Greet each guest and provide a high level of customer service.

Manage administration duties such as handling petty cash, completing daily/weekly reports as and when required.

Ensure that accurate reports are kept for daily, weekly and monthly reports including daily close out, weekly comments, updating the database and GV tracking etc.

Report and record all members/client problems and complaints on customer comment cards or directly to the Spa Manager when appropriate.

Ensure all complaints are dealt with, within a 24 hour bases.

Ensure reception staffs complete daily opening / closing procedures.

Prepare and pass for approval the reception rota on a monthly basis to Spa Manager or to colleagues approving/ scheduling across branch rotas.

Have comprehensive retail knowledge of all products and prices charged.

Price all items in reception/stock area.

Answer the telephone as per policy and to respond to guest queries in an efficient and professional manner when required.

Ensure that the reception desk is kept well organised, clean and tidy at all times by reception staff.

Report any accidents or illness to the Spa Manager and log in the Daily Logbook.

Update all relevant manuals and operating procedures as appropriate.

To participate in training and personal development programs.

Ensure that the issued uniform and name badge are worn at all times by yourself and the spa team

Attend meetings as per the requirements of the Spa Manager.

Maintain a healthy physical and smart appearance to assist the promotion and sales of spa services.

Maintain good working relationships with all your colleagues.

Remain flexible and willing to respond to any changes in the department as dictated by the needs of the business. Co-operation to perform reasonable extended duties within the scope of the job as and when assigned, including redeployment to alternative areas if required. .

Comply with local legislation as required.
