Female secretaries
v Directly reporting to the Country Manager/General Manager.
v Makes correspondence for and in behalf of the General Manager.
v Undertakes all routine matters and making inquiries and follow up on behalf of superior.
v Temporary fills-in when the HR/Administration Manager is on leave.
v Responds to general enquiries forwarding to specific team members where appropriate and following up to ensure a timely response where necessary.
v Handle recruitment activities such as arrangement of mobilization, reference check and/ or overseas recruitment, policy and implementation.
v Responsible for all administrative duties related with HR Department and hands on reports (preparation of Employees Profile/ and or Monitoring Status, Work schedule, Employees Leave Report.
v Provide and extend support to administer all the documents needed for the processing, cancellation and renewals of Employees/ Family/ Business Visa’s, Licenses, etc…
v Organized and secure all the confidential matters related with the Company’s agreement between the employees and sub-contract agencies, expats etc.
v Attends to correspondence, including sorting and distributing mail, drafting, preparing and/ or typing correspondence, reports or meeting minutes often of a complex or confidential nature
v Communicate & liaise, directly between drivers/ visitors/ enquirers and co-workers in other departments, and interpret and respond clearly and effectively to spoken request over the phone or in person, and to verbal or written instructions
v Arrange and conduct hotel reservation, accommodation, ticketing/ bookings for both guest/ employees
v Handles reception (phone calls, incoming guests, in/out documents).
v Clerical office works (preparing letters and memos, emails and distributing and dispatching important documents)
v Permanent work on emails received.
v Follow up 201 files and update of such documents as passport, visa, insurance, signed, and unsigned contracts and miscellaneous documents.
v Prepare local purchase orders (LPO)
v Post office mail sorting, verifications and distribution.
v Keeping all files in systematic order.
v Purchase office supplies.
v Conducts booking and hotel reservation for superiors, guests and employees. Maintain & update records of all assets, telephone numbers, faxes, and forms in the company and arrange for office maintenance.



v Maintenance of systematic recording and filing of all incoming/outgoing communications, books, contracts, company registration. Municipality, etc.
v Administrate attendance, vacations, & payroll arrangements.
v Arrange and maintain database files for document and staff.
v Generates report on staff leave and scheduling.
v Supervise all administrative problems and escalate it to the authorized persons.
v Promptly & politely attend telephone calls.
v Performed faxes, check / send e-mails and filing of all important documents.
v Keeping file for all the correspondences occurred within the department.
v Filing of all confidential documents, reports and other communications of the VP’s office.
v Reproduction and distribution of office issuances and communications according to priority and confidentiality.
v Receives and classifies all incoming correspondences and refers them to Superior according top their order of priority.
v Receives and places incoming/outgoing letters, local/international calls and screen callers before referring to Superior .
v Transmits and receives fax and telex messages and maintains a file for reference.
v Takes responsibility in arranging flight/hotel reservations and bookings for foreign guests and superior.
v Inventory of: car and office supplies.
v VISA application and arrangements.
v Client and broker meetings.
v Monitoring of car insurance and registration expiry, arrangements and issuance of trip tickets.
v Handles confidential information.
v Prepares coordination of inter-intra office memorandum.
v Designates area of responsibility and distributes errands for all drivers/staff
v Bank transactions.
v Interview applicants.
v Negotiates to lessen the company’s expenses.
v Vouchers (screening, encoding and filing), basic accounting works
